How to use this checklist

Launch worksheet: decisions to lock before step one

Fill these in before touching any software. Every later step refers back to a line here, and changing these answers after customers enroll is the most expensive kind of change.

Program name

What customers see on the card or pass. Keep it short enough to fit on a phone screen without truncating.

The reward

The specific thing customers earn, such as one free regular coffee. Not a percentage, not a surprise.

What the reward costs you

Your cost, not the retail price. You need this number to sanity-check the earn rate below.

Purchases required to earn it

Most stamp cards sit between 5 and 10. Below 5 gets expensive fast; well above 10 starts to feel unreachable.

The rules, in one sentence

For example: buy 9 drinks, get the 10th free. If your rules need a second sentence, simplify the program, not the sentence.

Earning trigger

What earns a stamp or points: any visit, a minimum spend, or specific items. Pick exactly one.

Who can award a stamp

Named staff or every till operator. This decides who you train and who holds any redemption code.

Launch date

Pick a normal-traffic day, not your busiest. You want room to fix hiccups while they are small.

Soft-launch group

Five to ten regulars, friends, or staff who will install and use the card in real transactions before the public sees it.

Day-30 success number

The enrollment count that makes this program worth continuing. Decide it now, in cold blood, not after launch.

The nine-step launch flow

Work through these in order. Steps 1 to 4 happen in the days before launch, steps 5 to 7 in launch week, and steps 8 and 9 are the launch itself.

  • 1. Lock the reward math in your tool

    Enter the reward, earn rate, and trigger exactly as written on the worksheet. Changing terms after customers enroll breaks trust with your best customers first.

  • 2. Write the rules customers will see

    Use your one-sentence rule everywhere: on the card, on signage, and in staff answers. One version, no fine-print surprises.

  • 3. Set up the card or pass design

    Business name, logo, the reward stated plainly on the front, and a progress indicator the customer can see without tapping anything.

  • 4. Configure the earning mechanic

    Set the stamp or points trigger from the worksheet, and decide what happens at the finish line: automatic reward, a redemption code, or a staff action.

  • 5. Run a full end-to-end test yourself

    Enroll on one iPhone and one Android, earn a stamp, complete a full card, and redeem the reward. Nearly every launch-day problem shows up here first if you let it.

  • 6. Train the people at the till

    Every shift must answer two questions without hesitating: how do I join, and how do I use this. They should also be able to award a stamp in under ten seconds.

  • 7. Place the enrollment point

    A QR code at the till, and on receipts if your printer allows, linking straight to the card install. If joining takes more than scanning and tapping, fix that before launch.

  • 8. Soft launch to your test group

    Have your worksheet group enroll and use the card in real transactions for a few days. Fix whatever confuses them; they are your kindest audience.

  • 9. Go live and announce at the till

    Put up signage, post once, and have staff mention it at every checkout for two weeks. A loyalty launch is a habit you build at the counter, not a one-day event.

The first two weeks: keep it alive

Launch is the easy part. Programs die quietly at the till in week two. Run these daily for the first week, then weekly.

  • Mention it at every checkout

    A staff sentence drives more enrollments than any sign. Keep the till script alive every single shift.

  • Count enrollments daily for the first week

    You are watching the trend, not chasing a target. A zero-enrollment day usually means a till problem, not a demand problem.

  • Be ready for the first redemption

    The first customer to finish a card is your full-system test with real stakes. Make sure that shift knows exactly what to do.

  • Log every point of confusion

    One line per incident: did not know Android worked, staff forgot the code. This log is your fix list, in priority order.

  • Fix QR friction within a day

    If people photograph the code instead of scanning it, or scan and give up, reprint, reposition, or enlarge it immediately.

  • Re-brief the shifts you missed

    Anyone who skipped training will improvise an answer, and improvised answers become the real rules. Catch them in week one.

  • Resist changing the reward

    Two slow weeks is data, not failure. Changing terms on early members costs more trust than it gains in new signups.

  • Check your day-30 number at day 14

    If you are under halfway to the worksheet target, the fix is almost always the till-mention rate, not the reward itself.

  • Thank your soft-launch group

    They are the program's first regulars. A small extra gesture turns them into the people who tell everyone else.
