Industry Playbooks
Gym churn rarely announces itself. A member doesn't cancel in January — they come twice in February, once in March, and by the time the cancellation email arrives in May, the decision was made months earlier, in silence. Retention is an early-warning problem, and the gyms that win it are the ones who can reach a drifting member cheaply, repeatedly, and without being ignored.
The membership pass
Replace (or augment) the plastic key tag with a wallet pass:
- Member name and tier — Bronze/Silver/Gold status creates an upgrade path to market
- Check-in barcode — scanned at the front desk, which doubles as your attendance data
- Renewal date visible on the pass
- Current challenge or class schedule on the back
Members add it during signup or from a QR at the front desk. It can surface on the lock screen when they're near the gym — a quiet, ambient reminder that they were going to come today.
The retention messages
The streak keeper
Attendance is the leading indicator of renewal. Celebrate it: "That's 8 visits this month — your best yet 💪". Positive reinforcement on the lock screen costs nothing and is the message members actually screenshot.
The drift interceptor
The campaign that pays for the whole program. Filter for members with no check-in scan in 14 days and send: "We haven't seen you in two weeks — this Saturday's classes are on us." You're intervening at the start of the silence, months before the cancellation.
The renewal runway
"Your membership renews in 7 days" — visible, friendly, and a chance to attach an offer ("renew this week, get a free month for a friend"). Surprise-billing resentment is a top stated cancellation reason; the reminder removes it.
The win-back
Expired members keep the pass unless they remove it — which means ex-members remain reachable. A quarterly "Come back — first month half price" to lapsed pass holders is a campaign with literally zero marginal cost and a warm audience.

Why the wallet beats the gym app
Big-box gym apps exist and go unused; boutique studios can't afford them anyway. The pass requires nothing of the member except the one tap they already gave you, and it puts your gym in the wallet they open daily — next to their payment cards, not buried on page six of their home screen.
Churn is fought in the gap between visits. The lock screen is the only marketing surface that exists in that gap.
